ERP with AI agents for compounding pharmacies

The pharmacist stays up front.

One system for prescriptions, customer service, the consultation room, lot-based stock, finance and dashboards. AI agents prepare the work; the pharmacist and whoever is responsible for each area check and decide.

The context

Independent pharmacies work on thin margins.

Stock that expires on the shelf and records no one trusts are costly for anyone working on thin margins and carrying technical responsibility.

78.98%

of the operational losses recorded in pharmacies and drugstores are related to product expiration.

Source: Abrappe, Pesquisa de Perdas no Varejo 2025, as reported by Guia da Farmácia

56%

of the independent pharmacies surveyed saw reduced profits between 2020 and 2024.

9,320

active compounding pharmacies in Brazil in 2025; 77.5% of them operate under Simples Nacional, the simplified tax regime.

That is why what sits behind the counter needs to be in order.

Before switching systems

Three fears when switching systems.

The migration going wrong

We bring over everything from the system you use today, and it keeps running until you approve VUpharma.

Support disappearing

Channels, hours and response times are set out in the contract before the migration begins.

The system deciding for you

The AI agents prepare and the pharmacist checks. VUpharma does not assess prescriptions or approve preparations: it records, and it rejects whatever falls outside the rules your pharmacy has defined.

The platform

What VUpharma organizes, from the prescription to the month-end close.

Nineteen modules in three groups. In each of them, the person accountable for the area confirms what the AI agents prepare.

A pharmacist weighs powder on an analytical balance in a modern compounding lab, with a tablet on the bench.

Bench

From prescription to finished formula: transcription, calculation, capsule, compounding order, label, lots, certificates of analysis and controlled substances.

Your team of AI agents

Sixteen VUpharma agents. In the consultation room, the KDoctor team.

Each AI agent handles one part of the operation and uses the same screens and rules as your team. Nothing the agents prepare takes effect without confirmation from the person accountable for the area, and technical matters stay with the pharmacist.

Support

Explains every VUpharma screen and, when something is rejected, tells you why and how to fix it. When the question goes beyond the screen, she hands the conversation to the VUpharma team through the channels set out in the contract.

VUpharma’s AI agents are not registered with the CRF and do not replace the responsible pharmacist. They transcribe, set up records, enter transactions, check and explain, within the rules your pharmacy has declared; assessing the prescription, approving the preparation and counseling the patient are acts of the pharmacist.

Migration

We migrate all your pharmacy’s data.

At no cost. You review everything before VUpharma goes live.

01

We bring it all over

We copy all the data from the system you use today, without touching it.

02

You review

You and the pharmacist review the migrated data in a report.

03

How we migrate

How VUpharma works

Professional responsibility is yours. The system does not take your place.

Assessing the prescription and approving the preparation are acts of the responsible pharmacist. VUpharma organizes, records and rejects whatever does not follow the rules your pharmacy has defined.

01

Nothing is assumed.

A quantity is only converted using the product’s or the lot’s own factor. Without the factor, the conversion is rejected.

02

A correction is recorded on top.

Every inflow, outflow and adjustment becomes a ledger entry that is never erased. An error is corrected by a reversal, and the history stays in place.

03

Rejected before saving.

Inconsistent master data and stock operations outside the category’s rules are rejected before saving, with the message in the user’s language.

Homeopathy

Scales and methods as the pharmacopeia defines them.

CH, DH and LM as scales; FC and K as methods; SD and C flagged as non-pharmacopeial. No equivalence between scales, and the dilution ratio recorded only where the Brazilian Homeopathic Pharmacopeia (FHB) defines it.

Branches

One pharmacy or a network of branches.

Data separated by branch

Lots, balances, stock ledger, receiving records, adjustments, assays and alerts belong to one branch and are only visible to the people who work there.

Shared master data

Products, dosage forms, capsules and suppliers can apply to the branches you choose.

Sanitary dossier by branch

Each branch’s operating license and the person responsible for SNGPC (ANVISA’s controlled-substance reporting system), with that person’s document stored encrypted.

Questions you will ask.

No. The AI agents prepare records, ledger entries and lists for you to check. Assessing the prescription and approving the preparation are acts of the responsible pharmacist, and the system rejects, before saving, whatever does not follow the rules the pharmacy has defined.
They prepare the work in each module. Iris transcribes prescriptions and compares doses with the reference ranges the pharmacy has entered; Clara serves customers on WhatsApp and the website; the KDoctor agents work in the pharmacist consultation room, including Jennifer on scheduling and Dr. Rafael Costa on records; Paula handles loyalty and prescribers, and Henrique, the drugstore. Helena, André, Beatriz, Otávio, Marcos and Lívia handle the catalog, lots and purchasing, certificates of analysis, homeopathy, compounding and controlled substances. Leonardo handles finance and the cash register; Vitória, electronic invoices, SPED and accounting; Davi, the dashboards; Caio, Renata and Camila, branches, migration and support. Prescriptions, quotes, entries and payments only take effect with confirmation from the person accountable for the area.
No. Records, lots, CoAs and the full history come over; only access passwords are created again.
Yes. We migrate from the systems compounding pharmacies use. Tell us yours in the demo.
Yes. The master data includes seven dynamization abbreviations: the CH, DH and LM scales and the FC and K methods follow the Brazilian Homeopathic Pharmacopeia (FHB); SD and C are flagged as non-pharmacopeial. The lot records the dynamization method and the potency.
Yes. Each branch has its own lots, balances, movements and alerts, and each user signs in to their default branch. Products, dosage forms, capsules and suppliers can be shared among the branches you choose. The dashboards consolidate the numbers of all branches. A transfer between branches leaves one branch’s inventory and enters the other’s, with the transfer invoice.
Only a connector for the equipment. VUpharma runs in the cloud and is used in the browser, with no server or database at the pharmacy. The scale, the label printer and the card terminal use a connector installed on the computer they are plugged into.
Yes. VUpharma issues NF-e, NFC-e and NFS-e from the order, with the IBS and CBS fields already filled in, and generates the SPED files for your accountant. Each stage of the transition, from 2026 to 2033, reaches the system as an update.
Yes. Marcos calculates the formula, chooses the capsule and packaging and prepares the compounding order and label; Leonardo handles the counter cash register, with the invoice issued on the spot; Lívia keeps the controlled-substance records and organizes the SNGPC submission. At each step, the pharmacist or the person accountable for the area decides.
The VUpharma team. Channels, hours and response times are set out in the contract before the migration begins.
Not much. The VUpharma team does the migration; you and the pharmacist check the data in a report and approve it before VUpharma goes live. The timeline is in the proposal.
The price is presented in the demo and comes in the written proposal, based on your operation. The migration is free of charge.
