ERP with AI agents for compounding pharmacies
The pharmacist stays up front.
One system for prescriptions, customer service, the consultation room, lot-based stock, finance and dashboards. AI agents prepare the work; the pharmacist and whoever is responsible for each area check and decide.

Who decides: the pharmacist and whoever is responsible for each area.
Illustrative values.

The context
Independent pharmacies work on thin margins.
Stock that expires on the shelf and records no one trusts are costly for anyone working on thin margins and carrying technical responsibility.
78.98%
of the operational losses recorded in pharmacies and drugstores are related to product expiration.
56%
of the independent pharmacies surveyed saw reduced profits between 2020 and 2024.
9,320
active compounding pharmacies in Brazil in 2025; 77.5% of them operate under Simples Nacional, the simplified tax regime.
That is why what sits behind the counter needs to be in order.
Before switching systems
Three fears when switching systems.
The migration going wrong
We bring over everything from the system you use today, and it keeps running until you approve VUpharma.
Support disappearing
Channels, hours and response times are set out in the contract before the migration begins.
The system deciding for you
The AI agents prepare and the pharmacist checks. VUpharma does not assess prescriptions or approve preparations: it records, and it rejects whatever falls outside the rules your pharmacy has defined.
The platform
What VUpharma organizes, from the prescription to the month-end close.
Nineteen modules in three groups. In each of them, the person accountable for the area confirms what the AI agents prepare.

Bench
From prescription to finished formula: transcription, calculation, capsule, compounding order, label, lots, certificates of analysis and controlled substances.

Customers and counter
From first contact to delivery: customer service on every channel, website and e-commerce with marketplaces, counter and cash register, consultation room, loyalty and drugstore.

Management
From the cash register to month-end close: finance, electronic invoices and SPED with the tax reform, purchasing, quality assurance and network dashboards.

Your team of AI agents
Sixteen VUpharma agents. In the consultation room, the KDoctor team.
Each AI agent handles one part of the operation and uses the same screens and rules as your team. Nothing the agents prepare takes effect without confirmation from the person accountable for the area, and technical matters stay with the pharmacist.

Helena Duarte
Pharmaceutical records · Catalog
Prepares each product record with DCB, Portaria 344/98 list, units and factors, and saves it only after you check it.

André Sato
Lots, stock ledger and purchasing · Inventory
Prepares receipts and adjustments by lot, with the lot’s factors and the category’s policy, for you to post. If something needs correcting, he puts together the reversal and the new ledger entry, which you also post.

Beatriz Lima
Quality · Certificates of analysis, POPs and licenses
Handles quality assurance: records the assays from the certificate of analysis, controls POP versions and reviews, and alerts you before any license expires.

Otávio Reis
Dynamization · Homeopathy
Records method, potency and starting lot as the pharmacopeia writes them. Generates the dynamization from a lower-potency lot and does not convert scales.

Marcos Tavares
Compounding · Calculation and order
Calculates the formula with the product and lot factors, chooses the capsule and packaging by the pharmacy’s rules and prepares the compounding order and label for the pharmacist to approve.

Lívia Campos
Controlled substances · Registers and SNGPC
Records the inflows and outflows of Portaria 344/98 substances, prepares the registers and balance reports and organizes the SNGPC submission for the pharmacist to check.

Clara Moura
Customer service · Channels and online store
Serves customers on WhatsApp, social media, email and the online store: answers questions about orders, receives the photo of the prescription, sends the quote the pharmacist approved and organizes deliveries.

Iris Albuquerque
Prescription transcription · Orders
Reads the prescription as a photo or PDF and transcribes the prescriber, patient, formula and dosage instructions. Then checks the doses against the reference ranges registered by the pharmacy and enters the order for the pharmacist to assess.

Paula Rezende
Customer relationships · Customers and prescribers
Handles customer loyalty and cashback, sends refill reminders for long-term formulas and organizes visits to prescribers, always with each customer’s consent.

Henrique Lobo
Drugstore · Corporate agreements and programs
Handles sales of manufactured medicines with the drug manufacturers’ discount programs, corporate agreements and Farmácia Popular, and prepares the close for each corporate agreement.

Jennifer
Secretary · KDoctor
Manages the consultation room schedule: books consultations and pharmaceutical services, confirms them, reminds the patient and reschedules when needed.

Dr. Rafael Costa
Generalist · KDoctor
Structures the record of each consultation from what the pharmacist reports and brings references to support the pharmacist’s assessment.

Dr. Liu Feng
Chinese medicine · KDoctor
Presents pattern hypotheses with classical sources and coordinates herbal medicine, acupuncture and dietary guidance, for the pharmacist’s assessment.

Dr. Chen Ming
Chinese herbal medicine · KDoctor
Brings classical formulas and interaction references for the pharmacist’s review. The approved formula goes on to compounding.

Dr. Li Wei
Acupuncture · KDoctor
Suggests points and protocols for each pattern, for the pharmacist certified in acupuncture to assess.

Dr. Wang Hua
Chinese dietary therapy · KDoctor
Suggests dietary guidance based on the energetic properties of foods, for the pharmacist’s assessment.

Leonardo Prado
Finance · Accounts and cash
Enters accounts payable and receivable, reconciles the bank statement, checks the cash register closeout at the counter and keeps each branch’s cash flow up to date. Payments wait for your approval.

Vitória Lemos
Tax and accounting · Invoices, SPED and month-end close
Prepares the electronic invoice for each order with the IBS and CBS fields, generates the SPED files and prepares the month-end close for your accountant to check.

Davi Moreira
Metrics · Dashboards
Builds dashboards that consolidate orders, revenue, inventory, expiration dates and finances for each branch and the network, and answers questions about the numbers.

Caio
Branches and access
Sets up the branches, records each store’s sanitary dossier and shows who sees what. Access is granted by the head of the pharmacy.

Renata
Implementation and migration
Oversees the migration of your pharmacy’s data and prepares the report for you to review before VUpharma goes live.

Camila
Support
Explains every VUpharma screen and, when something is rejected, tells you why and how to fix it. When the question goes beyond the screen, she hands the conversation to the VUpharma team through the channels set out in the contract.
VUpharma’s AI agents are not registered with the CRF and do not replace the responsible pharmacist. They transcribe, set up records, enter transactions, check and explain, within the rules your pharmacy has declared; assessing the prescription, approving the preparation and counseling the patient are acts of the pharmacist.
Migration
We migrate all your pharmacy’s data.
At no cost. You review everything before VUpharma goes live.
01
We bring it all over
We copy all the data from the system you use today, without touching it.
02
You review
You and the pharmacist review the migrated data in a report.
03
Go live
You start using VUpharma once you approve.

How VUpharma works
Professional responsibility is yours. The system does not take your place.
Assessing the prescription and approving the preparation are acts of the responsible pharmacist. VUpharma organizes, records and rejects whatever does not follow the rules your pharmacy has defined.
01
Nothing is assumed.
A quantity is only converted using the product’s or the lot’s own factor. Without the factor, the conversion is rejected.
02
A correction is recorded on top.
Every inflow, outflow and adjustment becomes a ledger entry that is never erased. An error is corrected by a reversal, and the history stays in place.
03
Rejected before saving.
Inconsistent master data and stock operations outside the category’s rules are rejected before saving, with the message in the user’s language.
Homeopathy
Scales and methods as the pharmacopeia defines them.
CH, DH and LM as scales; FC and K as methods; SD and C flagged as non-pharmacopeial. No equivalence between scales, and the dilution ratio recorded only where the Brazilian Homeopathic Pharmacopeia (FHB) defines it.

Non-pharmacopeial
Branches
One pharmacy or a network of branches.
Data separated by branch
Lots, balances, stock ledger, receiving records, adjustments, assays and alerts belong to one branch and are only visible to the people who work there.
Shared master data
Products, dosage forms, capsules and suppliers can apply to the branches you choose.
Sanitary dossier by branch
Each branch’s operating license and the person responsible for SNGPC (ANVISA’s controlled-substance reporting system), with that person’s document stored encrypted.
