Website, e-commerce and marketplaces

The pharmacy’s website and store, connected to inventory, pricing and electronic invoicing.

The pharmacy’s website and store are built right in VUpharma and use the system’s lot-based inventory, price tables and invoicing. Permitted products also go to Mercado Livre, Amazon, Shopee, Magalu, TikTok Shop and other marketplaces. Deliveries, whether by the pharmacy’s own routes, a delivery app or a carrier, stay linked to the order, with tracking. Clara, an AI agent, follows the orders; the pharmacist approves the quote.

What’s the status of Carla N.’s online order?

Clara Moura
Clara MouraAI agent

Order PD-2026-1204 is paid: R$ 156.30 by Pix, for the 60-capsule formula the pharmacist approved and the SPF 50 sunscreen. Carla chose delivery, and I let her know the formula is being compounded. Once the pharmacist releases it, the order goes on the Downtown Branch’s afternoon route.

Pharmacy website

The pharmacy’s website, built on VUpharma, with the store inside.

The site builder is part of VUpharma, and the store lives on the same site, using the system’s product records, inventory and price tables. The team edits the pages, Clara suggests copy, and the person in charge of the website approves each text before it’s published. Anything about health or medicines goes through the responsible pharmacist first.

In the online store

What customers find in the pharmacy’s online store.

Ready-made products with stock and price

Ready-made products appear with the price from the pharmacy’s tables and the branch’s stock balance. The sale is posted as an outflow to the lot’s stock ledger, just like at the counter.

Formulas by prescription

Compounded formulas are not displayed as products. The customer sends the prescription and pays only the quote the pharmacist approved.

Pix or card

The customer pays with Pix or card right in the store. At invoicing, each part gets its own invoice: NFS-e for the formula, NF-e or NFC-e for the ready-made product.

Order status

The customer sees what stage the order is at: prescription under review, quote sent, paid, being compounded, ready, out for delivery or delivered.

Prescription medicines

They appear with no images or advertising, only with the details Anvisa allows in a price list, and are dispensed only after the pharmacist assesses the prescription.

Connected to the pharmacy’s system

The store uses VUpharma’s product records, price tables, lot-based inventory and invoicing. There’s no second product database to keep up to date.

Marketplaces

The main marketplaces, with the pharmacy’s inventory.

Products that can be sold on a marketplace are listed from the pharmacy’s product records, with each channel’s price. The lot-based inventory is the same as the store’s and the counter’s, and the invoice comes from the same invoicing system.

The listing comes from the product record, with the Anvisa regulatory status the marketplace asks for, and no second record to maintain

Each sale reserves the lot closest to expiration, and the balance is updated across all channels

The marketplace order comes in as a pharmacy order, with the invoice issued before the shipping label

Only the ready-made products that Anvisa and each marketplace allow are listed, such as registered cosmetics and personal care products. Manufactured flower remedies are listed only where the marketplace accepts them, and the responsible pharmacist approves each product

Medicines and compounded formulas stay off marketplaces and follow the rules of the pharmacy’s own store

From prescription to delivery

Four steps, each with its own owner.

01

The customer sends the prescription

Through the online store, on the website or on their phone, the customer sends a photo or PDF of the prescription. Clara records the customer’s consent and opens the order linked to their record.

Clara · opens the order

02

The pharmacist approves the quote

Iris transcribes the prescription and checks the doses, Marcos calculates the formula, and the price comes from the pharmacy’s price tables. The pharmacist assesses the prescription and approves the formula and the quote.

Pharmacist · approves

03

The customer pays online

Clara sends the approved quote, and the customer pays with Pix or card. The confirmed payment is recorded on the order and goes into the branch’s accounts receivable.

Customer · pays

04

Delivery or pickup

Once the pharmacist releases the formula, the order goes on the delivery route or is ready for pickup at the counter. Clara lets the customer know.

Team · delivers

Delivery

Deliveries by route, confirmed at the customer’s door.

Clara organizes the day’s deliveries into routes, in address order, and the person in charge of deliveries checks and confirms each route. At the door, the courier records the name of the person who received the order, and the customer is notified.

Formulas with the “Keep refrigerated” warning on the label go out in an insulated box

Every order includes a printed slip with the pharmacist’s name and the pharmacy’s phone number and address

When the regulations require the original prescription, the order only goes out after the pharmacist checks it

Products or formulas containing a Portaria 344/98 substance are excluded from online payment

Orders that could not be delivered return to the branch, with the reason recorded

Delivery apps and carriers

Beyond the pharmacy’s own routes, delivery through its partners.

The pharmacy chooses the delivery apps and carriers it works with. Each shipment stays linked to the order, from the shipping quote to delivery.

Shipping quote

In the store, the customer sees the shipping cost and delivery time for each option by zip code. The delivery time for a formula already includes compounding time.

Label and pickup

Once the invoice is issued, the label prints right from the order. Pickup is scheduled with the carrier, or the delivery is requested in the app.

Tracking for the customer

Each status change at the partner updates the order, and Clara sends the customer the tracking link.

The same rules as the pharmacy’s own routes

An insulated box for formulas that need refrigeration, the pharmacist’s printed guidance in every order and, for medicines, only licensed partners. The rules for controlled substances don’t change.

What stays with people

Clara follows along. People approve, release and deliver.

01

Approve the quote

The pharmacist assesses the prescription and approves the formula and the quote. Prices come from the pharmacy’s price tables; discounts need approval from the person accountable for sales. The responsible pharmacist decides which products go to each marketplace.

02

Release and counsel

Only formulas the pharmacist has released go out for delivery or pickup. Through the store, the customer talks directly to the pharmacist, and Clara gives no health advice.

03

Confirm the route and the delivery

The person in charge of deliveries confirms the route, and the courier confirms each delivery. The refund for a canceled order is approved by the manager, and the original stays in the history.

Questions about the website, the store and marketplaces.

Yes, by prescription. They send the photo or PDF, the pharmacist assesses it and approves the quote, and only then does the customer pay. The formula is not displayed as a product in the store.
They are not sold through the store: Anvisa prohibits selling medicines subject to special control online. Home delivery is allowed under Portaria 344/98: the pharmacy collects the prescription at the customer’s address or receives the electronic prescription, the pharmacist checks it, and only then does the order go out for delivery.
The same as at the counter: NFS-e for the made-to-order formula and NF-e or NFC-e for the ready-made product, according to your state’s rules. In an order with both, each part gets its own invoice.
The payment is refunded to the customer, with the manager’s approval. The invoice is canceled within the deadline and under the conditions the regulations allow, and any ready-made product that has not gone out for delivery returns to its lot’s stock. The original order stays in the history, with who canceled it and why.
Not through VUpharma. Under RDC 44/2009, online orders for medicines are placed on the pharmacy’s own website, and Anvisa has not yet regulated pharmacies’ use of e-commerce platforms: until it does, the current rules apply. That’s why medicines and compounded formulas are not listed on marketplaces. What goes there are the ready-made products that Anvisa and each marketplace allow, such as registered cosmetics and personal care products, and the responsible pharmacist approves each one.
Yes. The website and store run on the pharmacy’s .com.br domain, as Anvisa requires for selling medicines online, with the pharmacy’s own brand layout. If the pharmacy already has a .com.br domain, the website uses it. The team edits the pages, Clara suggests copy, and the person in charge of the website approves it before it’s published.
A prescription is health data, which the LGPD treats as sensitive. Clara records the customer’s consent before receiving the prescription, and marketing messages only go to people who have opted in. Store data is not used to advertise medicines.
